This guide walks you through exporting contacts from the AMS CRM, including how to filter contacts, choose which fields to include, and download the export file.
Step 1: Filter Contacts Based on Criteria #
Go to CRM > Contacts and apply filters that match the group of contacts you want to export.

Example 1: Export all active individual members #
- Go to CRM > Contacts
- Under Tags, filter by
Active – Individual Member
- Click Filter Contacts
Step 2: Click the Number of Filtered Contacts #
Once the page refreshes with the filtered list, look for the number of results shown at the top (e.g. 2179 contacts found).
Click that number. This will reload the page to display only those contacts.
Step 3: Use the “More Actions” Menu #
In the top-right corner of the contact list, click on the More Actions dropdown.
Select Export [Number] contacts from the list.

Step 4: Select Fields for Export #
You’ll now land on the Export Options page.
Here, you’ll see all available CRM fields you can include in your export file.
Recommended Fields for Export: #
- First Name
- Last Name
- Email Address
- Phone Number
- Membership Status
- Organisation
- Tags
- Any relevant custom fields (e.g. Subjects Taught, State, Group Name)

Tick the checkboxes for each field you want to include.
Step 5: Export the Contacts #
Once all the required fields are selected, scroll to the bottom and click the Export [Number] Contacts button to begin.
The system will queue the export and process it once any earlier scheduled actions are completed. This helps manage server load and ensures the export runs smoothly.

Step 6: Receive the Export via Email #
When the export is ready, you’ll receive an email with a secure download link.
Click the link in the email to download the file (in CSV format).
Tips and Reminders #
- Large exports (1000+ contacts) may take several minutes to process.
- Make sure your filters are applied correctly before clicking the contact count.
- If you don’t receive an email, check your spam folder or ensure email notifications from the AMS CRM are not blocked.
