# Re-engage inactive members without another generic email

How associations can use member context, relevant invitations and staff judgement to reconnect with inactive members.

When a member becomes inactive, there is a fairly natural urge to send an email about everything. The next event, all of the new resources, the discount, the survey and perhaps a reminder that their membership is valuable. It is understandable, but it asks the member to do the sorting.

The 2026 Membership Marketing Benchmarking Report points to a more considered approach. Of associations using re-engagement tactics, 42% use personalised staff outreach, 38% invite members to specific events or programmes and 38% ask for feedback. At the same time, 18% report no re-engagement strategy at all.

The report covers US associations, so the percentages should not be transplanted directly into an Australian board paper. The practical lesson does travel: relevance beats volume, and it is difficult to be relevant when a member's history is fragmented.

## Inactive is not a member type

Someone who has not engaged recently may be busy, dissatisfied, between roles, no longer finding value, or simply unaware that something useful has changed. Those are different situations. A generic "we miss you" campaign treats them as one audience because it cannot see the difference.

A better first step is a short working definition. For example, an inactive member might be someone who has had no event attendance, learning progress, portal activity or communication response for a defined period. The exact rule will vary by association and membership cycle.

This is not about asking software to decide what a person needs. It is about making the information available so staff do not begin every conversation from scratch.

## Offer a next step that fits

The best re-engagement action is often small:

- an invitation to the next local event rather than the whole calendar;
- a course that completes a partly finished CPD requirement;
- a prompt to update a professional listing;
- an introduction to the committee, branch or course group that is relevant to them;
- a short question asking what has changed.

[Loop](/loop) gives committees, branches and course cohorts a place to continue a conversation. The useful part is not any one surface. It is that a staff member can see the response without waiting for an export to arrive.

[CMS](/cms) also has a role here. Member-aware pages can show a lapsed member a renewal path, a current member a relevant resource, and a visitor the public explanation. One URL can do the right job for the person viewing it.

## Automate the routine, retain the judgement

[Workflows](/workflows) are useful for the predictable parts: wait for a period of inactivity, prepare a message, pause, then put an exception into a staff queue. The rule needs care. A notification somebody did not ask for is worse than no notification at all, and an association should be able to explain why a member received it.

That is why we would start with a small cohort and a clear purpose rather than an elaborate reactivation machine. Look at the replies, attendance and renewal outcomes. Adjust the definition. Keep the work human where it should be human.
