# What a professional association needs that a club does not

Professional development evidence, member grades, committees and AGMs are where general membership software tends to run out.

A good deal of membership software is built around a straightforward idea: a person joins, pays annually, attends things, and renews. For a great many organisations that is genuinely the whole shape of it, and a platform built for that shape will serve them well.

Professional associations are a bit different, and the difference tends to surface about four months into an implementation rather than during the demo. These are the areas where the general-purpose answer usually runs out.

## CPD that survives an audit, not just a dashboard

Most platforms can record that a member attended something. Fewer can produce, two years later, the evidence a professional standards body actually asks for.

The distinction is worth being precise about. An audit-ready CPD record connects the member, the activity, the date, the category, the points and the evidence, and it does so for activities that did not happen inside your system - the conference run by someone else, the workplace training, the reading. If the platform can only count its own events, staff end up reconstructing the rest in a spreadsheet at exactly the moment it matters.

Things worth asking to see:

- Multiple concurrent CPD programmes, if your members hold more than one designation
- Categories with minimums and maximums, not just a single running total
- Manually claimed activity with supporting evidence attached
- A verification page a third party can check without logging in
- Audit selection - can you pull a random sample of members and review them

The selection question is narrower though: can the system produce the evidence when a regulator or a member asks for it.

## Grades, pathways and the application in between

Clubs tend to have membership types. Professional bodies tend to have grades that members move through - student, graduate, member, fellow - and movement between them is usually an application, assessed by someone, sometimes by a committee, occasionally with a fee attached.

That is a workflow, not a dropdown. If the platform models it as a category change an administrator makes manually, the assessment history lives in an inbox. Ask to see an application submitted, assessed, approved and reflected on the record, with the decision trail intact.

## Committees, chapters and special interest groups

Most professional associations run a structure underneath the membership. State branches, technical committees, special interest groups, a board with terms and rotations.

Two questions sort out most platforms. Can a group have its own membership, its own documents and its own discussion, tied to the main record rather than kept beside it? And does group membership end when the person's membership does, without anyone remembering to do it?

That second one sounds administrative and is the source of a surprising amount of governance risk. A lapsed member still sitting on a technical committee mailing list is a small problem right up until it is not. ## AGMs, voting and the governance calendar

Annual general meetings bring requirements that general membership software rarely anticipates. Notice periods to a defined roll. Eligibility that depends on membership status and grade at a particular date. Proxies. Motions. A record of who voted that stands up afterwards.

Plenty of associations run this on a separate voting tool, which is a perfectly reasonable answer. What is worth checking is whether the eligible roll can be produced from the membership system cleanly, at a date you specify, or whether someone is exporting and filtering by hand under time pressure.

## The public-facing side of professional membership

For a professional body, membership is often a signal to the public as much as a service to the member. A find-a-practitioner [directory](/directory) is the usual expression of it, and the requirement that matters is that a listing disappears when the membership does.

If the directory is a separate system, that link is manual, and a lapsed member listed as current is a genuine liability for a body whose designation means something.

## Renewals that follow the professional cycle

Registration years do not always align with financial years, and some designations renew on the member's own anniversary rather than a common date. If the platform assumes one renewal run in July, an association with rolling anniversaries ends up running the process manually twelve times a year.

Worth confirming early, because it is structural rather than configurable in a lot of systems.

## Where to start

If you take one thing from this, perhaps make it the demo advice: bring your genuinely awkward case. Not the standard individual membership - the dual-designation member on a payment plan who sits on two committees and is being assessed for fellowship. Ask to see it configured rather than described.

The platforms that can do it will show you. The ones that cannot will talk about the roadmap, which is useful information in itself.
