# Renewal strategy starts before the renewal invoice

Why association renewal work starts with a connected member record, not a last-minute invoice campaign.

The 2026 Membership Marketing Benchmarking Report has a fairly sobering number in it: 29% of participating associations said their member renewal rate had decreased in the previous year. That does not mean a renewal email is suddenly a bad idea. It does suggest that an invoice, sent near the end of a relationship, is a late place to discover that the relationship has gone quiet.

There is an important qualification. This is a US survey of association professionals, not an Australian market measurement. It is still useful because the operational problem is familiar: the member has attended something, completed something, asked a question, perhaps stopped opening emails, and those signals are sitting in separate places or nowhere useful at all.

## A renewal is a summary of the year

By the time a member receives a renewal notice, they are making a judgement about the year they have just had. Did they use the benefits? Did somebody notice when they became less involved? Can they see what they have done, paid for or earned?

That is why the useful renewal question is usually not, "which email should we send?" It is more like this:

- Which members have not attended, enrolled, logged in or responded recently?
- Which membership tier, branch or company bundle needs a different conversation?
- Can staff see the history before they call?
- Can the member renew and pay without another login or a manual form?

## Build the renewal runway

The report also found that associations with lower renewal rates are more likely to report membership loss over five years. There is no magic threshold hidden in that observation. It is a useful prompt to make the renewal runway visible and deliberate.

That sounds basic, but a renewal experience becomes fragile remarkably quickly when the payment link, the member profile and the record held by staff do not agree.

## A practical starting point

Before redesigning a whole retention programme, take twenty recent non-renewals and answer three questions:

1. Could we see their engagement history in one place?
2. Was there an earlier moment when a relevant invitation, course or conversation would have made sense?
3. Could they have completed renewal without staff intervention?

The answers are usually more useful than a generic benchmark. They also give a board something concrete to discuss: not just a renewal percentage, but the member journey behind it.
